THE 60-SECOND VERSION

Hiring a pond maintenance specialist in five steps

  1. Say what lives in the pondFish, frogs, newts — and how many fish. It changes how the pond is cleaned.
  2. Agree the visitFilter clean, pump check, plant thinning, sludge removal, water test.
  3. Ask about the fishKept in the pond or moved to a holding tank, and for how long.
  4. Settle the wasteSludge and plant material used on beds or taken by a registered waste carrier.
  5. Time it rightBig cleans in spring or autumn, not in the breeding season or a heatwave.

BEFORE YOU BOOK

Check before you book

No register applies

You will not find pond maintenance specialists on any statutory register, because none exists in the four nations, and no licence is needed to trade. The checks are experience with fish and wildlife ponds, insurance and the waste.

Ask how they keep fish safe during a clean.

Waste carrier registration

Taking pond sludge and cut plants off your property makes the pond maintenance specialist a waste carrier, and every nation requires carriers to register — the Environment Agency, Natural Resources Wales, SEPA or the NIEA, depending on where you live.

Get the registration number in writing and look it up by number, name or postcode. environment.data.gov.uk →

Electrics for the pump

Wiring a new or moved pond pump is electrical installation work. In England and Wales it has to meet the Building Regulations, and in Wales outdoor electrical work is notifiable; an electrician on the Registered Competent Person Electrical register can certify it rather than you paying building control.

Ask who wires the supply and which certificate you will receive. electricalcompetentperson.co.uk →

Public liability insurance

Insurance is not a legal requirement for a pond maintenance specialist. Public liability insurance matters anyway: a damaged liner or a lost pond of fish is expensive to put right.

Ask to see the current insurance certificate, with its limit.

VAT

Pond maintenance is standard-rated, so VAT on it is 20%. A pond maintenance business above the £90,000 threshold must be registered, charge the 20% on each visit and on UV lamps or filter media, and show it separately.

Ask for the pond specialist's VAT number and check each visit invoice lists the 20% apart. gov.uk →

“How will you keep my fish safe during the pond clean?”

A good answer: A holding tank with pond water, aeration and shade, and the fish back the same day.

“Will you drain the whole pond?”

A good answer: Only if needed. A partial clean with sludge pumped out keeps the water's balance.

“What will you do with the pond sludge?”

A good answer: Spread on beds if you want it, or taken away by a registered carrier.

“Will you test the pond water?”

A good answer: A test for ammonia, nitrite and pH, with the results explained.

“What is in a pond maintenance visit?”

A good answer: A list: filter, pump, UV, plants, debris, water level and test.

“Can you fit a new pump?”

A good answer: Plugged into an existing safe outdoor supply, yes; new wiring by a certified electrician.

“When is the best time for a full pond clean?”

A good answer: Spring or early autumn, avoiding spawning and hot spells.

Getting the quote right

  • What each visit includes, and how often
  • Sludge and plant removal, and where the waste goes
  • Fish handling: holding tank and time out of the pond
  • Parts such as a UV lamp or filter media, priced
  • Who actually attends each visit and handles the fish, and whether they are employed or subcontracted
  • The VAT number, and 20% VAT shown separately from the visit price and any parts

Walk away if

  • Fish left in a bucket in the sun
  • Full drain and pressure-wash of a wildlife pond
  • Sludge taken away with no carrier number
  • New wiring by someone who cannot certify it

AFTER

When the job is done

Keep the visit notesWater test results, parts changed and the next visit due.
Watch the fish for a few daysGasping at the surface or hiding can mean a water problem.
Check the pump and filterRunning, quiet and flowing as before.
Tell others how it wentA short, specific review of the pond maintenance specialist — what was done, on time or not, the clean-up — helps the next person. Problems go through make-it-right first.

STEP 1A written complaintEmail or message the pond maintenance specialist with what is wrong with the pond clean, photos and the remedy you want. The Consumer Rights Act 2015 gives you repeat performance first, then a reduction in price if that fails.
STEP 2The make-it-right stepA review under four stars for the pond maintenance specialist goes to them first if you say so, and we chase the reply. Then you review.
STEP 3No regulator: Trading StandardsThe consumer helplines pass complaints to Trading Standards: Citizens Advice (0808 223 1133) for England and Wales, Advice Direct Scotland (0808 800 9060), Consumerline (0300 123 6262) for Northern Ireland.
STEP 4Going to courtClaims of up to £10,000 in England and Wales, £5,000 in Scotland and £5,000 in Northern Ireland against a pond maintenance specialist go through the small-claims routes, built for people without a solicitor.

Hiring a pond maintenance specialist: questions people ask

No permit, licence or register applies to pond maintenance specialists. Taking sludge and plants away needs a waste carrier registration.

Swapping a pump on an existing safe supply needs no certificate; new outdoor wiring is electrical work that should be certified.

Most pay around £100 out of a range of £80–£300 a visit. For what moves the figure, see the pond maintenance price guide; for local pond maintenance specialists, search above.

A full clean every few years; light maintenance each season.

Not if they are kept in pond water with air and shade and returned the same day.

Yes, it is rich in nutrients and makes a good mulch.
