THE OLD WAY, AND THIS ONE

Ringing round costs you a fortnight. A tender costs you ten minutes.

Getting three quotes the old way means explaining the job again and again, chasing, and then comparing answers that were never to the same spec. A tender puts one brief in front of every matched supplier and brings the bids back scored.

WHAT A TENDER GIVES YOU

Everything a tender does for you

  1. One brief, every matched supplier

Post once. Every supplier that offers the service and covers your site bids to the same spec — no chasing, no mismatched quotes.

  2. Must-haves filter before anyone bids

Insurance, tax clearance, Garda vetting, ISO, references, TUPE — set each to Must-have and suppliers without it cannot bid.

  3. Weighted scoring you control

Price, experience, sustainability, turnover, past performance — set the weights and the ranking updates live. Bidders see the weights too.

  4. Ask once, answer all

Clarifications go out as numbered bulletins to every bidder — same information for all, on the record.

  5. Shortlist, best-and-final, award

Compare the shortlist side by side, run a best-and-final round if close, award — a contract with a review schedule is created.

  6. Performance follows suppliers

Every contract gets a review; the record travels with the supplier. When yours ends, your current supplier is invited again, record attached.

THE SUPPLIERS

286 suppliers across Ireland. Your current one is welcome.

Suppliers come from Locufy's company listings — cleaning, facilities, security, grounds, waste, maintenance — and are matched to your site by the areas they cover. Invite your current supplier to bid too; when the contract comes round again, they are invited automatically, record attached.

INSIDE A TENDER

The brief, the must-haves, the weights — in ten minutes

Posting a tender is five short steps: basics, scope and must-haves, scoring weights, timeline, review. These are the screens as they are — from your computer, where tenders get run.

The Scope step of Post a tender: the site description, the requirements list with each item set to Must-have or Scored, tender documents and the TUPE flag
Scope and must-haves — describe the site once; switch each requirement to Must-have (bids without it are filtered out) or Scored; attach your tender documents; flag TUPE if staff would transfer
The Scoring step of Post a tender: the Best value, Balanced and Quality-first presets and a weight slider for each of the six criteria, totalling 100%
Scoring — Best value, Balanced or Quality-first, or set your own weights across six criteria; they must total 100% and bidders see them
The tender control room for a demo tender: the shortlist table, the scoring-weight sliders, and bids from Demo Supplier A and B ranked with a score bar for each criterion
Tender control room — bids ranked, a score bar for each criterion, the ranking updating as you move a weight

GET BETTER BIDS

What the best-run tenders have in common

  1. Write the scope once, properly

Site size, frequency, hours, areas, standards, KPIs. A clear brief gets like-for-like bids; a vague one gets questions.

  2. Make the deal-breakers must-haves

Insurance, tax clearance, vetting — anything you will not award without. Then nobody wastes a bid.

  3. Set the weights before bids arrive

Pick Best value, Balanced or Quality-first, or set your own. Bidders see them and compete on what you value.

  4. Answer questions as bulletins

One answer, every bidder, on the record. Clarifications stop being phone calls.

  5. Review the contract

A performance review after award builds the record that makes the next tender easier to judge.

WHO IT IS FOR

Built for every kind of site

Office cleaning, commercial cleaning, facilities management, security guarding, window cleaning, grounds maintenance, waste removal, gutters, commercial electricians and maintenance — if a local supplier does it, you can tender it.

Offices & retail

Nightly cleaning, maintenance and facilities for workspaces; store cleaning and upkeep across branches.

Hospitality

Kitchens, front-of-house, windows and grounds kept sharp — one-off deep cleans or fixed-term contracts.

Property, FM & multi-site

End-to-end facilities contracts and multi-site operators: one brief, suppliers matched per site, coverage checked per Eircode.

HOW IT WORKS

From brief to contract in four steps

Post your brief

Service, site Eircode, scope, timeline and the requirements that matter. One structured brief, out to tender.

Suppliers bid

Every supplier that offers your service and covers your site is invited — in-app and by email. Must-haves filter them before they can bid.

Score on your terms

Set the weights; every bid gets a score you can see the workings of. Answer questions once, to every bidder.

Shortlist and award

Side by side, a best-and-final round if you want, then award — a contract with a review schedule is created.

A LEVEL FIELD

Ask once, answer all. Every bidder gets feedback.

  • Questions are answered in numbered bulletins that go to every bidder — no side deals
  • Bidders who lose are told where they ranked on each criterion, automatically — no names, no prices
  • Suppliers who know why they lost bid better next time — and your next tender gets sharper bids
  • Every answer, score and decision is dated — a record you can show anyone
  • Performance reviews follow suppliers into their next tender

WHAT WE ASK OF YOU

A few rules, so suppliers can trust the tender

  • A real requirement — a site, a scope and a timeline. Posting is free and you need not award — but bids cost suppliers time, so post when you mean it.
  • Answers in bulletins — questions from bidders are answered once, to everyone, through the tender — not by phone to one of them.
  • A review after award — the contract gets a performance review; that record is what makes every supplier's track record worth anything.

Commercial FAQs

Yes. Posting is free, there is no subscription and no card, and you are under no obligation to award.

Every supplier on Locufy that offers the service and covers your site Eircode — and only those that meet your must-haves can bid. Your company name is shown to bidders; your contact details are not until you award.

Each document a supplier uploads (insurance, tax clearance, Garda vetting, ISO certificates …) shows as a badge — “uploaded”, then “verified” once we have read and checked it — and you can ask to see the document. You can require insurance, tax clearance, Garda vetting, ISO 9001/14001, references or your own requirement as must-haves; documents are requested with the bid.

Both. Choose One-off job or Fixed-duration contract when you post. Contracts get a review schedule, and when one ends you can run the tender again in one click — your current supplier is invited with their record.

You weight six things: price, experience, account management, sustainability, turnover and past contract performance — a preset or your own, totalling 100%. Every bid gets a score for each and a total; move a weight and the ranking updates live. Bidders see the weights.

Tick TUPE applies when the winning supplier would take on existing staff, and attach your request for tender, specification or pricing template to the brief. Bidders see them before they bid.
