What moves the price
- Hours on site — an event photographer's half-day booking costs far less than a full day covering a conference and its evening dinner
- Turnaround — same-day or overnight delivery of edited images for press or social media carries a rush charge
- Number of edited images — a gallery of several hundred finished photographs takes longer to edit than a short selection
- Location — photographers in London charge an hourly rate noticeably above those in the North East or Yorkshire
- Usage rights — commercial use of the event photographs in advertising can be licensed at a higher fee than internal use
- Evening and weekend work — late awards dinners and Saturday events are priced above a weekday daytime booking

How to pay less
- Book the event photographer for the busiest hours only, such as the keynote and the drinks reception
- Give the photographer a clear shot list so the event coverage needs less time and fewer edits
- Accept the standard turnaround on the event photographs rather than paying for a same-day rush
Before you book
- Tell the event photographer how the images will be used, since commercial licensing can change the price
- Let guests know the event is being photographed, as UK GDPR expects people to be told how their image is used
- Check the venue allows the photographer access to the stage area and any restricted rooms
- Confirm the event photographer has public liability insurance, which many venues require
Event Photographer cost: questions people ask
From around £250 for a short half-day booking to £730 for a full day, with £400 a reasonable middle figure. Rates in London and for evening or rush work sit towards the top.
As long as you book them, typically two to eight hours. Many photographers have a minimum booking of two or three hours, so very short slots cost proportionally more.
Under UK GDPR, people should be told they may be photographed and how the images will be used, usually through a notice at registration and signs at the door. The ICO's guidance explains when consent or another lawful basis applies.
Many can, by editing a small selection during the event or straight after it. Expect a rush charge for same-day delivery, as editing time is squeezed into the evening.
On-site printing, extra hours, long-distance travel and a licence for advertising use are often added on top of the basic booking fee.
